Visitor/Vendor Management
  • New UI “Visitor and Vendor Configuration”

This new configuration screen has been created to give buildings a highly customized experience for their tenants and the particular needs for each tenant.  For example the building is fine with guest arriving 30 minutes early being given access to the building and having an active credential until the end of the business day at 18:00, but the lawyers office on the 5th floor does not want guests to arrive more that 5 minutes early, they want their business day to end at 16:00 and only want the credential to be active for 60 minutes after their scheduled arrival time.

The settings below can be set on a System, Facility, Occupancy or Vendor level.  These setting will affect Visitor/Vendor Invitations, Group imports, ad-hoc visitor/vendor creations, and visitor/vendor admissions.

  • On a System/Facility/Occupant/Vendor basis you can now give them a very specific customized visitor experience.

    • You can set:
      • “Default End of Business day” – Set the end of the business day for each System/Facility/Occupancy
    • If not explicitly set the default setting for the system is 18:00 local time.
    • Hosts will not be able to create a visitor request that will end after this time unless they have the “Can Exceed End-of-day for Visitors” permission added to their role.
    • Example use case:

      • The System can have End of Day set to 20:00
      • The Facility can have End of Day set to 18:00
      • Occupancy “Peterson Legal” can have its End of Day set to 17:00
      • Vendor “Peterson Flowers” have its End of Day set to 07:00 AM.
    • A “Expected Departure Time” – Sets the number of minutes after the visitor arrival time for the visitor credentials to be valid.

      • By default, the setting is not set, so all visitors will expire at the “End of Day” setting
    • Host, when creating a visitor request can set the “Expected Departure Time” to any time up to the end of business day, unless they have the “Can Exceed End-of-day for Visitors” permission added to their role.
    • Example use case:
      • The System leaves this setting unset.
      • The Facility sets “Expected Departure Time” to 360 minute, 6 hours, from the start of the visitor request.
      • Occupancy “Peterson Legal” sets Expected Departure Time set to 60 minutes.  This way a guest can not come back later in the day without a new visitor request.
      • Vendor “Peterson Flowers” sets “Expected Departure Time” to 30 minutes
        • Ex. FedEx should be in and out of the building in 30 minutes.
  • A “Expected Departure Time” – Sets the number of minutes after the visitor arrival time for the visitor credentials to be valid.

    • By default, the setting is not set, so all visitors will expire at the “End of Day” setting
    • Host, when creating a visitor request can set the “Expected Departure Time” to any time up to the end of business day, unless they have the “Can Exceed End-of-day for Visitors” permission added to their role.Example use case:
      • The System set “Visitor Badge Start Time Buffer (min)” to 30 minutes.
      • The Facility leaves the setting unset.
      • Occupancy “Peterson Legal” sets “Visitor Badge Start Time Buffer (min)” set to 5 minutes.  This way a guest cannot enter their space until the exact time of their visit.
      • Vendor “Peterson Flowers” sets “Expected Departure Time” to 60 minutes
        • Ex. Painter might need to bring equipment into the building before they start.
  • “Visitor Badge Start Time Buffer (min)” – Sets a grace period before expected visitor arrival time.  This way if a guest arrives early, they do not have to wait until their start time for their badge to activate.

    • Example use case:
      • The System set “Visitor Badge Start Time Buffer (min)” to 30 minutes.
      • The Facility leaves the setting unset.
      • Occupancy “Peterson Legal” sets “Visitor Badge Start Time Buffer (min)” set to 5 minutes.  This way a guest cannot enter their space until the exact time of their visit.
      • Vendor “Peterson Flowers” sets “Expected Departure Time” to 60 minutes
        • Ex. Painter might need to bring equipment into the building before they start.
  • “Maximum Instances Per Visitor Request” - Limit the number of occurrences for a visitor request.

    • When creating a visitor invitation if the host exceeds this setting, they will get a warning message and their setting will be changed to the maximum number of occurrences they are entitled to.
    • Example use case:
      • The System set “Maximum Instances Per Visitor Request” to 14 occurrences.  This would limit people from having a daily visitor for months.  If they want the same person coming daily, then they would have to create a new visitor request for each 14 day period.
      • The Facility leaves the setting unset.
      • Occupancy “Peterson Legal” sets “Maximum Instances Per Visitor Request” set to 30 occurrences.  They know they will have the same people coming in regularly for a month at a time.
      • Vendor “Peterson Flowers” sets “Expected Departure Time” to 14 occurrences.  The vendor knows that they regularly have workmen in for 14 day periods to rebuild a tenant space.
  • “Auto-Generate Visitor Credential” – Building is using paper badges, BluPASS, or other forms of credentials that can be autogenerated at the time of creation.

    • This setting will give the admin the ability to customize the card range/card type/Facility code for each occupancy or they can inherit the card range/card type/Facility code from their parent, ex. Occupancy inherits from Facility, Facility inherits from System.
    • Visitor/Vendor credential Bar codes and QRcodes can now be displayed in gmail.
